Exhibitor Set-Up

To maximize traffic, the exhibit hall will flow directly from the keynote space.  Exhibit spaces will be closed to traffic during keynotes and titan talks to minimize background noise.

Exhibit hours were designed to maximize exposure to exhibitors and conference attendees. Coffee breaks will be served in the exhibit area at 9:30-10am Monday – Wednesday and 3-4pm Monday – Tuesday, so you’ll want to be sure your booth is staffed during those times. 

Exhibitor Hours by Appointment

On Monday and Tuesday, Exhibitors are encouraged to set up appointments with attendees between 4-5pm. This is an excellent time for demonstrations and/or more in-depth product or sales information.

10′ x 10′ Exhibit Package

Items provided in your booth, per exhibitor:

  • 8 ½” x 11” Identification Sign
  • 6’ x 30” Table
  • 2 Side Chairs
  • Basic electricity + power strip
  • Facility is carpeted

Please note that there will not be pipe & drape behind or between booths. You are welcome to bring backdrops and additional furnishings, if you stay within the 10’ x 10’ space provided. If additional standard furnishings (i.e. additional chairs or highboy/cocktail tables) are requested, please email [email protected] no later than November 7.

User Group Meetings

Exhibitors may host User Group Meetings on Tuesday evening between 5pm – 8:30pm, There is no additional fee for audio visual.  Companies will be responsible for ordering their own catering, if desired.Companies will be responsible for ordering their own catering, if desired.

Exhibitor Move-Out

Wednesday, December 10, 2025| 10:30am-12pm

Exhibitor Registration:

Registration is required to receive a badge and to access the conference’s mobile app.

Each booth comes with 2 full, complimentary registrations.  Additional registrations can be purchased for $375 per person.  As all exhibit reps should have either the complimentary or discounted registration, exhibit reps are welcome and encouraged to fully participate in the conference.  This includes keynotes, titan talks, technical sessions, workshops, and the networking reception.

Mobile App

The Mobile App is scheduled to be released on/around December 3. Exhibitors will have full access to the app and should download before arriving in Seattle. You will receive an email once it is available.

Connect with colleagues! Within the app you can see who is attending and speaking, mark favorites and send private messages.  The mobile app also offers a Digital Business Card Exchange where participants can scan each other’s QR codes within the app. More details are to be provided.

Internet Options

Internet options will be posted closer to the conference start date.

Audio Visual Equipment Rental

INFORMS is also offering access to Prestige AV & Creative Services, the AV provider for the Winter Simulation Conference. This equipment rental is available to our exhibitors at a discounted rate.

Important Exhibitor Alerts

As an exhibitor, you may receive emails and phone calls from various companies offering hotel rooms at discounted rates, conference attendee lists, etc. These companies are NOT affiliated with INFORMS or WSC and are NOT authorized by INFORMS or WSC to contact exhibitors. Do not reply to these requests.

These pirates threaten the meetings and events industry as they disrupt the process and cause confusion. They aim to scam exhibitors and attendees and have them purchase fraudulent lists or book rooms that may never be reserved or exist.

Your personal contact information is never posted online by INFORMS or WSC and is only shared with the service providers authorized by INFORMS (i.e., Sheraton Grand or Prestige AV).

All exhibitor correspondence will be sent directly from INFORMS, WSC committee members, or one of the official service providers via email. If any correspondence is received from an unsolicited source, please do not respond to any of their inquiries.

If your company has received fraudulent emails or phone calls soliciting you to purchase attendee lists, book hotel rooms, or other products/services, please file a report!

The Federal Trade Commission (FTC) has created a new process for individuals and companies to report these activities. The FTC will share these reports with their law enforcement partners to help with investigations and stop these practices.

How to file a fraud report:

  • Go to the U.S. Federal Trade Commission website: gov
  • Click on “Report Now”
  • For Question 1: “Is your report about any of these common problems?” Select “An Impersonator” (top left answer)
  • For Question 2:”Who were they pretending to be?” Select “Well-known or trusted business”
  • Click “Continue”
  • Add as much information as you have (i.e., copy the email) and submit!
