Presenter & Chair Guidelines

Are you presenting at the meeting or chairing a session? Here are tips and guidelines to ensure you have a successful and rewarding meeting experience!

Length of Your Presentation

Each session is 75 minutes, with presentation time divided evenly among the presenters in the session. Your allotted time includes any Q&A you choose to have following your presentation.

For example:

  • 5 presentations = 15 minutes per presentation
  • 6 presentations = 12 minutes per presentation

Please plan your presentation accordingly and stay within your allotted time to help keep the session on schedule.

SLIDE fORMAT

  • An optional PowerPoint template is available for presenters. Download the PowerPoint template:

  • Format your slides in 16:9 widescreen.
  • Use a minimum font size of 20 pt; 24 pt or larger is recommended.
  • Slides do not need to be submitted in advance. Bring your presentation with you and plan to present using your own computer.
  • A full paper is not required.

audio-visual requirements

  • Each session room will be equipped with a projector and screen.
  • Bring your own laptop to connect to the projector in your session room.
  • Projectors will use an HDMI connection. If your computer does not have an HDMI port, bring the appropriate adapter for your device.
  • Mac users: Please bring any adapter needed to connect your computer to HDMI.
  • Technical assistance will be available if needed.
  • We recommend bringing a backup copy of your presentation on a USB drive.

PRESENTATION GUIDELINES 

  • Check the Technical Sessions schedule or mobile app for your session room and location.
  • Arrive on time and check in with your session chair before the session begins.
  • Presentations are expected to be in English.
  • Focus your presentation on the key findings and takeaways, and include a brief summary.
  • Stay within your allotted presentation time, including any time you choose to allow for audience questions.
  • You are welcome to bring copies of your paper or other handouts to distribute to attendees.

POSTERS 

Poster presenters must provide a printed copy of their poster for display onsite. You may bring a pre-printed poster with you or arrange for your poster to be printed onsite.

INFORMS is partnering with the FedEx Office at the Marriott Marquis to offer discounted printing rates for poster presenters.

  • Printing requires 24–48 hours.
  • Same-day poster printing is not available, so presenters should preorder their posters.
  • Posters will be available for pickup beginning October TBD.
  • Hours:
    • Monday–Friday: 9:00 a.m.–6:00 p.m.
    • Saturday–Sunday: 9:00 a.m.–4:00 p.m.

Poster Setup & Session Schedule

For maximum visibility, we recommend hanging your poster at the beginning of your designated setup period.

Poster Setup

11:00 am–4:00 pm

Presenters may begin hanging posters at 11:00 a.m. We recommend setting up as early as possible for maximum exposure.


Poster Sessions

Poster Competition Judging Session
1:15–2:30 p.m.

All attendees are welcome to view the posters during judging; however, please allow judges space to complete their evaluations. Winning posters will be ribboned during the Welcome Reception. Winners will be officially announced during the Monday Plenary Session and in the Annual Meeting mobile app.

General Poster Session
7:00–8:00 pm
Held during the Welcome Reception

Poster Competition presenters should return to their posters during the General Poster Session for a second presentation opportunity and to discuss their work with attendees.

STEM SPARK K–12 Poster Session
6:30–8:20 pm
Held during the Welcome Reception

Poster Removal

General and STEM SPARK K–12 posters must be removed by 8:20 pm

Any posters remaining after 8:30 p.m. will be removed and discarded.

Poster Competition presenters:
Please leave your posters in place. Competition posters will remain on display Monday for additional visibility.

Monday, November 2

Poster Setup

Monday poster presenters may begin hanging their posters at 9:00 a.m. We recommend setting up as early as possible for maximum exposure.

Poster Competition posters from Sunday will already be on display and should remain posted.

Poster Removal

All Monday posters must be removed by 4:45 pm

Any posters remaining after 5:00 pm will be removed and discarded.

 

SESSION CHAIRS

Session chairs help ensure that sessions run smoothly and stay on schedule.

Before and During Your Session

  • Arrive on time and briefly introduce the session.
  • Remind attendees to silence their phones or mobile devices.
  • Keep the session on schedule and ensure that presenters do not exceed their allotted presentation time.
  • Please note that meeting rooms may not have reliable internet access.

After Your Session

Complete the Session Chair Reporting Form after your session to provide:

  • Session title
  • Estimated attendance
  • Any presenter no-shows

This information helps INFORMS better understand session attendance and track presenter participation across the meeting.
