Exhibit hours were designed to maximize exposure to exhibitors and conference attendees. Coffee breaks will be served in the exhibit area at 9:30-10am Monday – Wednesday and 3-4pm Monday – Tuesday, so you’ll want to be sure your booth is staffed during those times. You asked, we listened: The afternoon coffee breaks have been extended to one hour this year!
Exhibitor Hours by Appointment:
On Monday and Tuesday, Exhibitors are encouraged to set up appointments with attendees between 4-5pm. This is an excellent time for demonstrations and/or more in-depth product or sales information.
User Group Meetings:
Exhibitors may host User Group Meetings on Tuesday evening between 5:45pm – 8:30pm, There is no additional fee for audio visual. Companies will be responsible for ordering their own catering, if desired. Catering menus can be viewed here and orders can be placed by contacting Ashley Moncayo.

Exhibitor Registration:
Registration is required to receive a badge and to access the conference’s mobile app.
Exhibit reps are welcome and encouraged to attend the opening session & keynote on Monday morning at 8am and the Titan of Simulation talks at 12:20pm on Monday & Tuesday. Exhibitors may also attend any of the technical sessions throughout the conference.
10′ x 10′ Exhibit Package
As of 11/1 the exhibit hall floorplan is not yet available. It will be shared with exhibitors for booth selection based on order of contract submission.
Items provided in your booth, per exhibitor:
- 8 ½” x 11” Identification Sign
- 6’ x 30” Table
- 2 Side Chairs
- Basic electricity + power strip
- Facility is carpeted
Please note that there will not be pipe & drape behind or between booths. You are welcome to bring backdrops and additional furnishings, if you stay within the 10’ x 10’ space provided. If additional standard furnishings (i.e. additional chairs or highboy/cocktail tables) are requested, please email ehood@informs.org no later than November 18.
Internet Options
Internet for your exhibit area can be ordered directly through Orlando World Center IT Services and Solutions Department using this form. Questions regarding internet can be directed to Lindsay Wright.
Audio Visual Equipment Rental
INFORMS is also offering access to Prestige AV & Creative Services, the AV provider for the Winter Simulation Conference. This equipment rental is available to our exhibitors at a discounted rate.

INBOUND SHIPPING
You can ship your booth materials directly to the Orlando World Center Marriott FedEx Office Print & Ship Center.
All guest and event packages being shipped to the property must follow the address label standards (illustrated below) to prevent packaging routing delays.

Please schedule your shipment(s) to arrive no earlier than four (4) days prior to the start date to avoid additional storage fees. Use the name of the recipient who will be on-site to receive and sign for the package(s).
Detailed instructions from preparing your shipment to outbound shipping from the hotel can be found on the FedEx Office Orlando World Center Shipping Instructions.
Shipments into and out of a hotel featuring a FedEx Office location are subject to receiving or handling fees in addition to the transportation charges incurred for shipping, regardless of the transportation carrier.

OUTBOUND SHIPPING
Outbound shipping will also be handled through the FedEx Office. They sell packaging supplies such as boxes, tape, etc. or you may bring your own. All outbound packages must have a completed carrier air bill affixed to each package. FedEx boxes and airway bill forms are complimentary. Outbound packages and freight to be picked up by a third-party courier should be coordinated directly with those vendors, and communication should be sent to the FedEx Office indicating when those items will be picked up. Handling fees will apply.
Printing Needs
The FedEx Office Print & Ship Center located at the Marriott Orlando World Center offers copy & print services, foam board signs, retractable banners, and more. To learn more about the products and services they offer on-site, click here.
Mobile App
The Mobile App is scheduled to be released on/around December 3. Exhibitors will have full access to the app and should download before arriving in Orlando. You will receive an email once it is available.
Connect with colleagues! Within the app you can see who is attending and speaking, mark favorites and send private messages. The mobile app also offers a Digital Business Card Exchange where participants can scan each other’s QR codes within the app. More details are to be provided.
Important Exhibitor Alerts
As an exhibitor, you may receive emails and phone calls from various companies offering hotel rooms at discounted rates, conference attendee lists, etc. These companies are NOT affiliated with INFORMS or WSC and are NOT authorized by INFORMS or WSC to contact exhibitors. Do not reply to these requests.
These pirates threaten the meetings and events industry as they disrupt the process and cause confusion. They aim to scam exhibitors and attendees and have them purchase fraudulent lists or book rooms that may never be reserved or exist.
Your personal contact information is never posted online by INFORMS or WSC and is only shared with the service providers authorized by INFORMS (i.e., Orlando World Center Marriott or Prestige AV).
All exhibitor correspondence will be sent directly from INFORMS, WSC committee members, or one of the official service providers via email. If any correspondence is received from an unsolicited source, please do not respond to any of their inquiries.

If your company has received fraudulent emails or phone calls soliciting you to purchase attendee lists, book hotel rooms, or other products/services, please file a report!
The Federal Trade Commission (FTC) has created a new process for individuals and companies to report these activities. The FTC will share these reports with their law enforcement partners to help with investigations and stop these practices.
How to file a fraud report:
- Go to the U.S. Federal Trade Commission website: gov
- Click on “Report Now”
- For Question 1: “Is your report about any of these common problems?” Select “An Impersonator” (top left answer)
- For Question 2:”Who were they pretending to be?” Select “Well-known or trusted business”
- Click “Continue”
- Add as much information as you have (i.e., copy the email) and submit!
